Next of kin and Caregiver
To manage parent and child profiles in DocVilla, you can choose from three options.
Option 1: Caregiver Feature
You can add next of kin or relatives in DocVilla. Go to the patient’s profile> Click on Basic Info> Scroll down> click on Next of Kin
Click on Add Next of Kin and follow the steps.
Once the Next of Kin is Added, then click on “Caregiver for”
The Caregiver feature allows a patient to view the Protected Health Information (PHI) of their next of kin through the patient portal.
Use this feature with caution.
Ensure that you do not attach the incorrect next of kin to a patient's profile.
You must obtain written permission from both:
The patient, and
The next of kin,
before displaying the kin’s data on the patient’s portal.
To disassociate a kin from a patient for caregiver feature, you can uncheck the kin and save.
You can add a parent’s email (e.g., parent@gmail.com) in DocVilla.
Associate up to 5 children with the parent.
The parent logs into the patient portal and switches between child profiles to schedule appointments.
You can disassociate the connection at any time.
Once you give access of a kin to a patient/caregiver, then when the patient logs into the patient portal they will have ability to check the PHI of the kin. The patients will be able to change their role and impersonate the patient portal of the kin.
Option 2: Notification Email vs. Patient Portal Email
Notification email → Can be the same for multiple profiles (e.g., the same parent email can receive notifications for multiple children).
Patient portal username email → Must be unique per patient (one email cannot be linked to multiple portal logins).
Option 3: Using Gmail Aliases for Multiple Patient Portals
Gmail allows aliases to create multiple patient portal accounts for one email.
Example:
All these emails will still deliver messages to jose@gmail.com, but can be used to create separate patient portal accounts.
On the custom patient portal, this is the way screen would look like where the patient/caregiver would have the option to select the kin and see the dashboard accordingly.
If the system is showing you the error that “ email cannot be associated with two accounts” while adding a patient
In this case, please uncheck the “Enable Patient Portal” checkbox. This will let you add the patient. If you use an email address that is already associated with some other patient, then the system will continue to give you error.
