How to Upload Insurance Card/Driving License and other Documents Using a QR Code in EHR

Using a QR code allows patients to quickly upload documents directly to their profile. You can also upload any before and after images in the patient chart. Here’s how to set it up:

There are three ways to upload documents in EMR

  • Through Patient Encounter

  • Through Patient Profile

Any documents uploaded in the Patient Encounters will automatically be shown in the Patient Profile. However, if any documents are uploaded in the Patient Profile will not be shown in the Patient Encounter.


Steps to Upload Document in EMR through Patient Encounter:

 

Step 1: Access the Consults Tab

  • From the main dashboard, click on "Consults.”

Step 2: In the Consults Tab:

  • Search and select the patient’s name.

Step 3: Open the Documents Section

  • Select the Documents option within the patient’s encounter details .

Step 4: Click on “Consult”.

Step 5: Scan and Upload

  • The provider or staff can scan the QR code using a phone, iPad, or tablet.

  • Select the appropriate Category to classify the document.

 

 

 

  • This opens a direct link to upload documents. The patient can then upload images of their insurance card or driving license or any consult related images e.g. rash, wound, etc. directly from their device

 

Step 7: Save the Document

  • Click on “Save” to upload and save the document in the EHR.

 

Step 8: Refresh and Verify Document

  • After uploading, refresh the page.

  • The newly uploaded document will appear in the Documents tab.


 

Steps to Upload Documents Using QR Code from Patient Profile

Step 1: Access Patient Profile

  • Go to Patient and select the specific patient’s profile.

Step 2: Generate QR Code

  • Navigate to Documents tab

  • In the Documents tab, click Generate QR Code.

 

Step 3: Scan and Upload

  • The patient or staff can scan the QR code using a phone, iPad, or tablet.

  • This opens a direct link to upload documents. The patient can then upload images of their insurance card or driving license directly from their device.

 

Step 4: Refresh and Verify Document

  • After uploading, refresh the page.

  • The newly uploaded document will appear in the Documents tab.


This quick process allows for seamless uploading of important documents, ensuring they’re stored securely in the EMR and accessible when needed.
