How to Set Up Asynchronous Visits in DocVilla

DocVilla, like most EMRs, is primarily designed for synchronous visits. However, some practices choose to conduct asynchronous visits by customizing the telehealth email content and hiding the video join button. This method helps set the correct expectations for patients while allowing the provider to manage the visit asynchronously.

You would need custom patient portal (additional fee) for the patients to schedule an appointment with you.

How Asynchronous Visits Work

Practices using this workaround update the telehealth email so that instead of prompting the patient to join a video session, it informs them that:

“This will be an asynchronous visit. The doctor will contact you if needed; otherwise, medications will be sent to the pharmacy you selected.”

This ensures patients understand there will be no live video interaction, and communication will happen only if required.

Steps to Configure Asynchronous Visits

  1. Go to Setup

  1. Click on Miscellaneous

  1. Update your email content:

    • Video Email Top Content

    • Video Email Bottom Content

  1. Click on Hide Join Video Button to remove the telehealth link from the email

  1. Click on SAVE

The email sent to patients will display the customized content entered by your practice, and the Join Video button will be hidden. The appointment date and time will still appear in the email.
