How to Send a Lab Order Using LabCorp in DocVilla
If the client does not have a LabCorp Account # or Representative yet, the client can submit a request to: Contact a Labcorp account representative | Labcorp , fill out the form, and select an option under “New Account Request”.
If the client does have a LabCorp Account # but does not know their rep’s name, the client can place a request at: Contact a Labcorp account representative | Labcorp , fill out the form, and at the bottom under “Existing Users” type in their Account Number and indicate in the Comments section that they are requesting a new interface.
You have to reach out to your lab rep and request for integration with DocVilla. Labs usually cover the Initial Interface Integration fee and Annual maintenance fee with the EHR.
The lab integration process may take several weeks to months depending on the lab’s internal procedures and your patient volume. Once you complete the registration, a lab representative will contact us to initiate the integration of your lab account with your DocVilla account. You will need to follow up with the lab rep to ensure they reach out to us.
Please note:
If the lab declines to cover the initial integration fee, no EHR can proceed with integration until your practice has built enough patient volume. In such cases, we recommend developing a relationship with the lab by sending orders through their portal or through eFax from DocVilla.
There is also additional Annual Maintenance Fee that is usually paid by labs to the EHR. In certain cases if the lab refuses to cover this cost, then the medical practice will be required to pay the Annual Maintenance Fee. This fee is in addition to the DocVilla subscription fee.
Once the integration is done, then follow these steps to send lab order:
Step 1: Import LabCorp Discount Tags
Log in to your DocVilla Dashboard.
Go to Setup → Enc Setup → Miscellaneous Info.
Miscellaneous Info- On the right-hand side, under Account Settings, click Import LabCorp Discount Tags.
The discount tags will now be imported into your account.
💡 These discount tags are used per patient. Providers can assign them based on the patient’s Income level if the patients do not have any insurances and they qualify for any discounts.
Step 2: Assign Discount Tags to a Patient
Go to Patients → Search for the patient.
Open the patient’s profile and go to Basic Details.
Under Patient Tags, search and select the appropriate discount tag (applicable if the patients do not have insurance and they qualify for any discounts from Labcorp).
Click Save Patient Information.
Step 3: Add Guarantor and Income Details
Go to Consults → Open the patient encounter.
Under Patient Info → Demographics, fill in the Guarantor Information.
Also, add the Household Annual Income.
Step 4: Add Insurance and Diagnosis Info
Still under Patient Info, go to Insurance.
Add the Payer Address.
Navigate to Diagnosis Info → Diagnosis, and add the relevant ICD-10 codes.
Step 5: Create and Send Lab Orders
Go to Lab Order → Click on Compose → Create Lab Request.
Select the Lab (LabCorp).
Choose the Account Number and Provider associated with the lab order.
Click Send Request.
On the left-hand side, under Tag (Discount), see the patient’s discount tag.
In the Search Lab Tests section, type in the test name (e.g., CBC). The system will fetch data from the LabCorp compendium database.
Add the tests and map the diagnosis codes to them (visible under).
AOE Question(s) stands for Ask on Order Entry questions.
When ordering certain lab tests, some tests require additional information — for example, patient symptoms, specimen details, or travel history.
What to do:
When the AOE Question(s) appear, fill in the required answers.
Once all questions are completed, click Send Order to finalize and transmit the lab order.
Select who to bill — Insurance, Payer, or Client.
Here’s what each billing option means in DocVilla when sending a lab order:
Insurance: Lab bills the patient’s insurance.
Payer: Patient pays directly (cash pay).
Client: Provider or clinic is billed directly.
Click Send Order.
You’ve successfully created and submitted a LabCorp order with applicable discount tags in DocVilla.
How to View Lab Results and Import Them into SOAP Notes in DocVilla
Here’s how you can easily view lab results and include them in your SOAP notes for better documentation:
View Lab Results:
Go to the Labs section.
Click on View next to the lab order.
You’ll be able to see the detailed lab results there.
Import Lab Results into SOAP Notes:
Navigate to Consults → Encounter → Diagnosis Info → SOAP Note → Assessment.
Click on Select the data that you would like to integrate.
Choose Lab Results to import them directly into your SOAP note for that patient encounter.
Tip: This feature saves time and ensures your documentation is complete with relevant lab findings automatically linked to the patient’s record.
