Reassign Patient to Another Provider (primary provider)
Overview
If a patient has been incorrectly assigned to a provider and a charge has already been posted under that provider’s name, DocVilla restricts reassignment to ensure audit integrity and compliance with billing standards.
Steps to Change the Assigned Provider for Future encounters (Before Charges Are Applied)
This change of Providers only impacts the future encounters that have not yet been created.
Navigate to the Patient Profile.
Edit the Primary Provider field.
Select the correct provider from the list.
Save the changes.
Note: This change must be made before any charges are entered for the patient.
If Charges Have Already Been Applied
Once a charge has been attributed to a provider, it cannot be reassigned. The system locks those transactions for compliance and audit purposes.
Recommended Action
Document the incorrect assignment for month-end billing reconciliation.
Advise your front desk staff to verify provider details before posting any future charges.
