Electronic Signature Not Showing on Documents

If your electronic signature isn’t appearing on your generated documents or templates, follow the steps below to ensure it displays correctly.

Step 1: Log In to Your EHR Dashboard

Access the EHR system using your provider credentials.


Step 2: Create a New Template

  1. Navigate to Setup → ENC Setup.

  1. Go to Custom Templates → Other Templates.

  2. Click Create New Template.

  1. Design your document template:

    • Include all necessary fields and details.

To display your electronic signature, select “Provider Signature” from the available field options — this will automatically pull your signature once you sign off the chart.

DO NOT MAKE ANY CHANGES IN THE MACRO

  • To add your signature, create it using Microsoft Paint , then send it to support@docvilla.com to upload into your account.


Step 3: Use the Template in an Encounter

  1. Go to Consults search for the Patient.

  1. Go to Consult → Documents.

  2. Click on Generate Additional Documents.

 

  1. Select the template you created.

  2. Click Use Template.

  1. Review and edit the document as needed.

  2. Click Use Generate Document to finalize.

  1. Now Under Consult Documents you will find the document under actions you click on the eye icon and you will find the Electronic Signature on right hand side.


Step 3: Sign Off the Encounter

⚠️ Important: Your electronic signature will only appear after you sign off on the encounter.

  1. Review the chart.

  2. Click Sign Off to finalize it.

  1. Reopen the signed encounter — your signature should now appear automatically on the document.


Step 4: Fax or Share the Document

  1. Once generated, download the document.

  2. Use the built-in eFax feature to send it directly to the imaging center or any other recipient.


Tip:
If your signature still doesn’t appear after signing off, please contact support@docvilla.com to verify that your signature file is correctly linked to your provider profile.
