Don’t Let Your Charting Vanish: How to Prevent Auto-Logout in DocVilla. Always click on SAVE button!

At DocVilla, we understand how valuable your time is — and how frustrating it can be to lose clinical notes due to session interruptions. While the platform is built to maintain security and performance, unexpected timeouts or session closures can sometimes appear to be caused by the system itself, when in fact the issue may stem from local device settings.

Here’s how to prevent charting interruptions and ensure your work is always saved:

DocVilla Doesn’t Log You Out Automatically (In Most Cases)

DocVilla does not auto-log out or close your charting session arbitrarily. If you’re being logged out or your chart appears to close unexpectedly, it’s usually due to one of the following:

  • Your computer going to sleep or entering power-saving mode

  • A loss of internet connection

  • Logging in from another device (which ends your prior session for security)

  • You leave DocVilla session open for a very long period (usually many hours) of time without any activity.


🛠️ What You Can Do: Update Your Computer Settings

To avoid unintentional disconnections, we recommend checking the following system settings on your workstation:

  • Display sleep settings: Set your screen to stay on during work hours.

  • Hard disk sleep settings (Windows): Set to Never during practice hours.

  • Battery/power settings (especially on laptops): Use Performance mode and keep the system awake.

  • Auto-lock/timeout policies (on Macs or managed PCs): Adjust or disable when appropriate.

This will help keep your DocVilla session active and reduce the chance of any browser session timing out.


Always Click ‘Save’ Frequently

DocVilla saves data only when the “Save” button is clicked in SOAP notes or charting sections. If you anticipate stepping away or multitasking for a few minutes:

  1. Click “Save” in your SOAP or documentation tab.

  2. Resume whenever you're ready — your work will be right where you left it.

Once saved, your data is fully secure and backed by immutable audit logs on our servers. Even if the session ends or the device powers off, your saved content cannot be deleted or lost.


Pro Tip: Use Auto-Save Macros or Templates

If you're using custom templates in ENC Setup, consider integrating macro-driven fields to minimize manual entry and reduce your chances of losing detailed input.
